Virtual teams are not closely monitored and must do the majority of their work independently. They are still members of a team and must learn to remain communicative with the other professionals. There are numerous ways to encourage team members to work remotely.

Promote remote collaboration tools
Encourage the team to use numerous software programs and websites that allow its members to create, edit and share information remotely. Google Documents is an example of an all-in-one file editing, sharing, and storage tool that is 100% remote. Zoom is one of several platform tools that are recommended to host remote meetings. 

When choosing remote collaboration tools, it’s ideal to use brands known and trusted by millions of other remote professionals. Additionally, the best tools are free, easy to use, and built into the browser without requiring a download. 

Create a sense of normalcy
Supervisors should make the employees or coworkers feel relaxed and comfortable in their new virtual environment. Team leaders should initiate friendly chats before the virtual meetings begin. They should suggest tips to improve their experiences with meeting online and working on an infrequent schedule.

Assign team roles
Every person on the team should be assigned important roles and duties. First, every team member should be asked to volunteer for certain positions, such as timekeeping or note taking. Then, the right duties should be assigned to the correct workers based on their skills and availability.

Monitor nonverbal interactions
The team must be interacting using positive and productive nonverbal communication. During a virtual meeting, the team must always look alert and optimistic about the duties and assignments ahead of them. If a couple of workers appear lazy or bored, then most of the workers will believe that they can behave that way. Working remotely should not mean behaving in any way that is convenient to the person. Certain movements, gestures, and facial expressions should not be allowed in a virtual environment.

Remote workers represent the company’s culture, even if they are located thousands of miles apart. Team leaders should establish rules for how every remote project is completed. This includes making a work schedule for every individual to work at his or her own pace and creating a group schedule that allows for easy team collaborations.
